Less admin. More time for care.
Care work happens on the move. Its tools should too. In six weeks, I helped turn a clunky web portal into a mobile experience built around caregivers’ working reality.
The brief
A mobile tool for work that rarely happens at a desk.
Domestic caregivers were managing schedules, client details and time off in a web portal designed around office work. On the road, small tasks became evening admin. Updates arrived late, reporting stayed incomplete and scheduling conflicts kept creating follow-up work.
CloudrabbIT brought me in as the design partner to its engineering team. Together, we translated complex operational logic into a mobile product caregivers could understand quickly and developers could build without too much back and forth.
The goal wasn’t to digitise more admin. It was to make admin fit into the workday.
What changed
Less friction for caregivers. Less chasing for operations.
from field insight and workflow logic to a launch-ready mobile experience.
fewer scheduling conflicts through clearer planning and approval flows.
caregiver adoption compared with the former web-based solution.
Start with the real work
Insights changed the brief.
The challenge wasn’t simply “make it mobile.” Observing and interviewing caregivers revealed three constraints the interface had to respect.
Constant movement. Key actions had to work between visits, not later at a laptop.
Mixed digital confidence. Familiar patterns and plain language mattered more than clever interactions.
Operational complexity. Shifts, absences, expenses and client information had to connect without feeling overwhelming.
The approach
Simplify the experience without simplifying away the business rules.
Follow the day
Organise the product around visits, tasks and decisions caregivers already recognise.
Reduce memory work
Surface the right client, schedule and reporting context at the moment it is needed.
Design with engineers
Turn operational complexity into clear states, reusable components and buildable flows.
The product
Designed around a caregiver’s day.
Each feature answers a practical question: Where am I going? Who am I caring for? What changed? What still needs to be logged?
Home
Know what’s next.
Today’s visits and upcoming appointments are visible at a glance.
Caregiver profile
Keep personal details close.
Profile, employment and contact information live in one predictable place.
Scheduling
A schedule people can act on.
Caregivers can scan upcoming duties, open the details that matter and respond to changes without translating a desktop planning tool onto a phone.
Time off
Request leave without starting an email chain.
A short, transparent flow makes requests and approval status easy to understand while giving operations the information needed to plan coverage.
Reporting
Log the work while it’s still fresh.
Hours, mileage and expenses can be captured on the move. Clear progress and real-time notifications and feedback reduce incomplete records and the HR follow-ups they create.
Clients
The right context before the door opens.
Client details, care notes and visit context are available in a few taps helping caregivers arrive informed without carrying paper records or tedious handover reports.
The result
A product that respected both sides of the operation.
Caregivers got a clearer way to manage the work in front of them. Operations gained more timely reporting and fewer scheduling conflicts. And the engineering team got a scalable system they could keep extending on.
